This personal data protection policy informs you of how the Administration of the Danish Parliament processes your personal data and of your rights. This personal data protection policy does not apply to the processing of information undertaken in connection with parliamentary work at the Danish Parliament, e.g., personal data processed in the Chamber and by parliamentary committees.

REGULATION (EU) 2016/679 OF THE EUROPEAN PARLIAMENT AND OF THE COUNCIL of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data

(GDPR) came into force on 25 May 2018. The regulation is the legal framework for common personal data protection legislation in the European Union. The regulation is effective in all EU Member States and therefore replaces the earlier Danish Personal Data Protection Act.

 

On 17 May 2018, the Danish Parliament adopted the Personal Data Protection Act, no. 502 of 23 May 2018, that lays down supplementary national legislative provisions regarding the processing of personal data within the national scope allowed.

The secretariat or the unit that processes your personal data in order to perform its tasks is responsible for the day-to-day processing of your personal data. Your enquiry will therefore be sent on to the relevant unit or employee. If your enquiry includes sensitive personal data, you are advised to transfer it in an encrypted format or to send it via e-Boks.dk

We process your personal data for the following purposes:

  • To perform any duty that the Administration of the Danish Parliament is obliged to perform in the public interest, including any duty that the Administration of the Danish Parliament is legally obliged to perform. 
  • To supply the services, you order from the Administration of the Danish Parliament, e.g., newsletters, publications and bookings.
  • To meet our contractual obligations in connection with a contract to which you are a party, or in connection with the implementation at your request of measures prior to our entering a contract with you. 
  • To substantiate our work and to develop and improve our solutions/performance.

The legal basis for our processing your personal data is generally Article 6(1) (b, c and e) and Article 9(2) (f and g) of the GDPR. Further legal bases may apply. In some cases, we will request your consent to process personal data concerning you. When we request your consent, you will be informed of the purpose and legal basis.

The Administration of the Danish Parliament processes only personal data concerning you that is necessary for the performance of our duties. The personal data we gather and record depends on the duty in question. 

4.1. Data security and access
For security reasons, the Administration of the Danish Parliament has established video surveillance of publicly accessible areas in and around the Danish Parliament. In compliance with CCTV surveillance laws, we have CCTV signage. CCTV footage is deleted after 30 days unless there is a specific reason to submit footage to the police.
For security reasons, the Administration of the Danish Parliament may record telephone conversations. The recordings are deleted within 48 hours unless there is a specific reason to submit the recordings to the police.

For security reasons, all visitors to the Danish Parliament are subject on arrival to scanning procedures (similar to the security measures at an airport).

4.2. Visits and guided tours
The Danish Parliament offers a variety of guided tours and visits. 
You can order a visit via the Danish Parliament’s online booking system (see ft.dk) or by contacting the Danish Parliament’s Visitors' Service. We need only your name, phone number, e-mail address and (if any) similar details regarding the company, school or association you represent.

4.3. Practical work experience for schoolchildren
Schoolchildren can apply for a practical work experience place at the Administration of the Danish Parliament. In the application form on ft.dk, a child must inform us of his/her name, address, postcode, town, phone number, school and year.

4.4. Working at the Danish Parliament
Applications for vacancies at the Administration of the Danish Parliament can be submitted via the Danish Parliament’s website. We use the Danish state’s e-recruitment system.

4.5. Learning games
The Danish Parliament offers a range of learning games for Danish schoolchildren. In connection with this service, we record pupils’ names, school and year, and the phone numbers and e-mail addresses of contact persons. In connection with the game, we may take a passport photo of each pupil who takes part in “Politician for a Day.” Photos will be automatically erased at the end of the school year. 

4.6. The Danish Parliament’s Information Centres
The Danish Parliament has two information centres. They can be contacted by phone, chat or via the Danish Parliament’s website. If you have questions about the Danish Parliament, legislation or Christiansborg, you are welcome to contact the Danish Parliament’s Information Centre. If you have questions about the work of the EU or your rights within the EU, you are welcome to contact the Danish Parliament’s EU Information Centre. We process any personal data concerning you that you submit to us. In most cases, to answer your question, we need nothing more than your question, your name and possibly your e-mail address. When you chat with us, we can see your IP address.

4.7. The Office of the Folketing Hansard
If you have questions about the work of the Office of the Folketing Hansard, you are welcome to contact the Office of the Folketing Hansard directly. We process any personal data concerning you that you submit to us. In most cases, in order to answer your question, we need nothing more than your question, your name and possibly your e-mail address. However, we may pass your question on to the Danish Parliament’s Information Centre if they can reply better or faster.

4.8. The Danish Parliament’s Subscription Service

On the Danish Parliament’s website, you can sign up to receive news and documents from the Danish Parliament. To take out a subscription, you have to create a profile. Your profile contains your name, e-mail address and the types of news and documents you wish to subscribe to. 
 
We will only process this data in our IT system in order to send you the news and documents you have subscribed to. The data will be neither divulged to a third party nor used for other purposes. We store data regarding the news and documents you have subscribed to for 30 days.
You have easy access to the data you have submitted to us, and you are free to change or cancel your subscription. You can view, change or delete your profile and your choice of subscription at ft.dk.

4.9. The Danish Parliament's web editor and the Danish Parliament’s webmaster
If you have questions about the design of the Danish Parliament’s website or wish to suggest improvements, you are welcome to contact the Danish Parliament’s web editor. If you discover technical anomalies on ft.dk or have other questions of a technical nature, you are welcome to contact the Danish Parliament’s webmaster. In most cases, to answer your question, we need nothing more than your question, your name and possibly your e-mail address.

4.10. Media
We believe that the general public should have the best possible opportunities for keeping abreast of our political work. If you are a journalist or photographer, you can gain access to the Danish Parliament using your press card. You must have a valid Danish or international press card.
On specific occasions, e.g., election night or in connection with the opening of the Danish Parliament, special conditions may apply. If special accreditation is required, you can learn more on ft.dk.

No more than 160 privileged permits to the Danish Parliament are issued to the media. To learn more about privileged access criteria, read the access application form. The Administration of the Danish Parliament records your name, phone number, e-mail address and employer.

4.11. Photographs and video recordings of events
As the Danish Parliament is a linchpin of Danish society, communication and documentation of life and work at Christiansborg Palace are matters of public interest. The Danish Parliament’s Information Office takes photographs and makes video recordings of, e.g., events held at the Danish Parliament, the purpose of which includes communicating the work of the Danish Parliament and creating material to store for posterity.

4.13. Web traffic logs
The Danish Parliament’s Information Office logs traffic on the Danish Parliament’s website. We log web traffic for statistical purposes and to improve your experience of our website.

4.14. Information for in-house users of the Danish Parliament’s IT systems
In-house users of the Danish Parliament’s IT systems receive specific information regarding how the Administration of the Danish Parliament processes their personal data.

The Danish Parliament uses Facebook, Instagram and LinkedIn. Each of these platforms has its own personal data protection policy. You are encouraged to read the personal data protection policies before using the platforms. The Administration of the Danish Parliament uses Facebook in a professional capacity to promote Danish democracy and public awareness of the work of the Danish Parliament. We and Facebook are the data controllers. We have joint responsibility for the Danish Parliament's Facebook pages.

Any personal data gathered by the Administration of the Danish Parliament is recorded on IT systems used by the Administration of the Danish Parliament. Employees of the Administration of the Danish Parliament use our IT systems in their work, and they have access to the data recorded on these systems. Our employees are only entitled to process personal data that is necessary for them to perform their duties. Our employees are subject to a mandatory duty of confidentiality. We use an access management solution. Access is restricted to employees who require access in order to perform their duties.

The Administration of the Danish Parliament stores your personal data for as long as necessary in order to fulfil the purposes of processing or for as long as the Administration of the Danish Parliament is obliged to store the data in pursuance of other legislation. We will store or erase your personal data in accordance with the regulations pertaining to the Danish Parliamentary Archives. From time to time, it may be necessary to store personal data as hard copies. Hard copies will be stored responsibly.

If a data processor processes personal data on the Danish Parliament’s behalf, storage and erasure will be undertaken in accordance with applicable personal data protection legislation and a data processing agreement.

The Administration of the Danish Parliament will only divulge your personal data to a third party if we are legally obliged to do so or if this is otherwise necessary in order to perform the work the Administration of the Danish Parliament is obliged to perform.

The Administration of the Danish Parliament avails itself only to a limited extent of the services of data processors, i.e. third parties who process personal data on our behalf. Where relevant, we enter a data processing agreement with the data processors to ensure that the data is processed in accordance with applicable personal data protection legislation.

Your personal data is protected by the measures taken to protect data on the Danish Parliament’s IT systems. We use an access management solution. When you contact the Danish Parliament, you may transfer your personal data in an encrypted format to [email protected], or you can use the contact form on the Danish Parliament’s website.

The GDPR entitles you as the data subject to a series of rights in connection with how we process data concerning you.

  • The right to see the data (right of access)

You have the right of access to the data we process concerning you.

Right to rectification (correction)

  • You have the right to obtain the rectification of inaccurate personal data concerning you.

Right to erasure

  • In certain circumstances, you have the right to have personal data erased prior to the time we would generally have deleted such data.

Right to restriction of processing

  • In certain circumstances, you have the right to obtain a restriction on the processing of your personal data. If you have the right to restriction of the processing, we may subsequently only process your personal data, with the exception of storage, with your consent or for the establishment, exercise or defence of legal claims or the protection of the rights of another natural or legal person or for reasons of important public interest.

Right to object

  • In certain circumstances, you have the right to object to our otherwise lawful processing of your personal data.
